We are currently looking for an executive assistant to be the supportive force that empowers our Chief Operating Officer and other members of the senior leadership team from time to time. The ideal person for the job will be a proactive problem solver with exceptional communication skills and meticulous attention to detail. You will have previous experience working in an office environment, performing administrative duties, and providing support to senior management.
Main Duties & Responsibilities:
*Responsible for extensive diary management for the COO, coordinating meetings, setting up appointments and setting reminders
*Prepare meeting agendas, perform research for meetings, and take minutes during meetings
*Managing credit card and other expenses and monthly finance reporting
*Manage all general office facilities in Dublin and perform reception duties when necessary
*Book business travel arrangements, including flights, transportation, accommodation, and visas where necessary.
*Provide support to other senior leadership team members
*Assume role of Health & Safety representative including fire and first aid responsibility. Ensure overall compliance with H&S Policy
Skills, Knowledge & Attributes:
*Proven experience as an Executive Assistant
*Exceptional written and oral communication skills
*Excellent word processing skills, and proficient with all Microsoft Office software (Outlook, Word, Excel, PowerPoint)
*Exceptional attention to detail
*Ability to work under pressure and to tight deadlines
*Great organisational and time management skills
*Excellent interpersonal skills
*Proactive self-starter with excellent problem-solving skills
